Every Blue Claw app, set up and used the right way
One reference for KYN, BidClaw, RouteClaw, CrewClaw, PoolClaw, ClawCam, ClawHQ, Social Autopilot, PO Desk, TeamClaw, CashClaw, CreditClaw and ClawBooks. Each chapter covers setup, daily use, who can do what, and what changes when you also run the other apps.
The suite follows the way a contractor's year actually runs. You find out what your company costs to operate, you price work off those numbers, you run the crews, you document and bill the work, and you watch the cash. Every app stands on its own. Each one gets more useful when the app next to it is connected.
ClawHQ is the hub for contacts, campaigns, calls and messages. The work apps (BidClaw, RouteClaw, PoolClaw and the rest) are equal sister tools around it: they own the work, and they report their client activity to ClawHQ. QuickBooks Online is the books today; ClawBooks is being built to replace it. Blue Claw ID is the one login that will tie all of them together.
Plans & pricing
Every app has a free way in. Free tiers are free forever with limits; they are not timed trials (CashClaw and ClawBooks are the exceptions, with a trial). You can pay for one app and stay on the free tier of the others with the same email.

Create a Blue Claw ID
- Go to login.blueclawgroup.com and choose Create a Blue Claw ID.
- Enter full name, company name, email, mobile phone, and a password of at least 10 characters. Each phone number can belong to only one Blue Claw ID.
- Open the confirmation email and tap the link. Your account is set up the moment you confirm.

Blue Claw staff
Sign up with your company email: @blueclawgroup.com, @blueclawassociates.com, @bluewaterpoolsspas.com or @bostontenniscourt.com. You join your company automatically with the basic role in every staff app. An owner or admin raises your role. Staff get every app except Social Autopilot and CashClaw; ClawBooks is owner-only.
Subscribers
Sign up with any email. A new company is created from the company name you typed, you become its owner, and you get the free tier of every subscriber app. Subscribe to one or more apps and keep using the free tier of the rest with the same login.
Two-step sign-in
- Open Two-step sign-in (on Your apps, or in Settings / Security inside each app).
- Press Turn on, scan the QR code with Google Authenticator, Microsoft Authenticator or 1Password, and enter the 6-digit code.
- From then on every sign-in asks for the code. On Blue Claw ID one setting covers every connected app.
There are no backup codes. If you lose the phone, contact support and an admin removes the old authenticator so you can set up a new one.
Forgot your password
Use Forgot password? on the sign-in screen. The reply always reads the same whether or not the email has an account. Emailed links work once and expire; if one fails, request a new one.
Know Your Numbers
LiveThe KYN method in an app. In about an hour you build a full-year budget: overhead, labor burden, crew capacity, equipment rates, markups, and the hourly rate each crew has to bill to hit your profit.
Set it up
- Choose Create account. Enter full name, company name, email, phone and a password (6+ characters), then press Start free — build my numbers. No card is needed.
- Confirm from the email, then sign in.
- Gather last year's P&L, your payroll register, a list of owned and leased vehicles and equipment, and your insurance and workers comp rates.
- On the Welcome screen press Start my {year} budget. From September on it suggests next year.
- Work through the steps in order (below). Everything saves about a second after you stop typing.
The steps, in order
1 · Start
- Company name, budget year, up to 6 divisions.
- Overhead burden % per division. Must total 100%.
- Optional: last year's sales, purchases and paid hours. KYN works out your efficiency and lost revenue.
2–4 · Wages & crews
- Admin Wages: annual salaries. Tick Owner for owners.
- Indirect Wages: managers, estimators, mechanics per division.
- Workforce Calculator: crews and members with months, hours, OT, holidays, PTO and wage. A member with no wage isn't counted.
5–7 · Vehicles & equipment
- Leased: enter the monthly payment; KYN does ×12.
- Owned: cost ÷ years = depreciation.
- Equipment Hourly Rates: costs, fuel and use per machine give Cost/hr and Charge/hr.
8–9 · Overhead
- Overhead Accounts: 46 accounts (BS1–BS46). Add line items under each.
- Overhead Summary: read-only totals by division. Click a row to jump to its source.
10–12 · Burden, capacity, pricing
- Payroll Taxes & Burden: every rate as a %. Workers comp $9.50 per $100 = 9.5%.
- Crew Capacity & Bill Rates: set the Target Bill Rate and FLUB % per crew.
- Markups & Ratios: materials, subs, disposal, delivery, other.
13–16 · Reports Paid
- Projected P&L: consolidated, by division, or side by side. Export PDF or Excel.
- Budget Spread and Monthly Budget: the year by month.
- My Numbers: sales goal, hours to sell, target GP and NP, and what to charge per crew hour and per equipment hour.
17–18 · Insights Paid
- AI Analysis: flags, a management-accountant review, and a business valuation range. Optimize Profit applies suggested changes; Revert undoes them. 20 fresh runs a month.
- Look Ahead Plan: one printable plan with the P&L, crews, and My Numbers.
Locking a year. Menu → Lock budget year makes the worksheets read-only; reports and exports still work. New year: on Your budget years, type the year and tick “start from {last year}” to copy it.
Who can do what
Each person has their own login and their own budgets; there are no shared company accounts in KYN. Blue Claw consultants can open a client's budget read-only to review it with them.
Works with the other apps
| App | If you have it | If you don't |
|---|---|---|
| BidClaw | Your KYN subscription turns on BidClaw Pro for the same email. Press Use these numbers in BidClaw on My Numbers, then in BidClaw import your crew rates, equipment rates, markups and labor cost per hour. | You still get every report. Type your rates into any estimating tool by hand. |
| RouteClaw | Use My Numbers' burdened labor cost per hour on RouteClaw's Crews & Employees page (there is an Open KYN link). | Nothing changes in KYN. |
If something's wrong
- “Name a division on the Start page first.” Most pages need at least one named division.
- Totals don't tie to the company total. Overhead % on Start must add to 100%. Budget Spread must add to 100%.
- Hedge counted twice. FLUB on Capacity cuts billable hours; FLUB on Burden adds cost. Using both stacks them.
- Can't open checkout. Confirm your email first. The paywall emails you a one-click confirmation because your KYN login also opens BidClaw Pro.
BidClaw + Jamie
LiveEstimating, proposals and sold-job management for landscape, hardscape and construction contractors. Jamie, the AI estimator, can build estimates for you and, with Jamie Assistant, work any screen by voice or text.

- Fill in Setup: Catalog (one click loads 15 common materials, no prices), Kits (starter Paver patio and Retaining wall), Production Rates, and System Settings → Travel & logistics (shop address, overnight limit, island list).
- Paid plans: connect QuickBooks Online (Settings → QuickBooks Online → Connect to QuickBooks) and add people under People & Access.

Works with the other apps

If something's wrong
- Estimate missing from the list: switch the filter to All statuses.
- Margin looks too good: a labor type with no cost per hour counts as $0 cost. Fill it in on My Numbers.
- Can't edit packages: they lock once sent. Set the proposal back to Draft first.
- Jamie trial proposal won't send: trial work prints PREVIEW and can't be sent until you hold Jamie Estimator.
- Magnet cards misaligned: print at 100% (Actual size), not Fit to page.
- Lost the two-step phone: support has to turn it off.

- Can't move a stop: it's started, grouped, or on a locked route. Unlock it in Daily Routines.

CrewClaw
Blue Claw nowOne mobile time clock for crew leaders across every Blue Claw app. A worker can work for more than one company in a day; each stretch of time is tagged to its company, division and job. Payroll hours come from CrewClaw; billing stays in the app the job came from.
Set it up (office, at Office crew setup)
- Every crew leader needs a ClawCam login with membership in each company they work for.
- New crew workspace → name it. Companies come from your ClawCam memberships.
- Add divisions and set each company's time zone.
- Add employees once each: full name, employee code, and the companies they may work for.
- Build crews: name, foreman, members, and the jobs the crew can work.
- Assign crew leaders: their login, companies, workers they control, and jobs they can use.
- Connect schedule feeds (RouteClaw, PoolClaw construction, PoolClaw service, BidClaw): Connect schedule feed opens the app's approval window (allow pop-ups). Then map that app's crews to CrewClaw crews once. Feeds sync every 15 minutes.
Crew leader, day to day
- Sign in with your assigned crew account. Pick English or Español.
- Open Crew clock and work records. Today's stops show in route order with instructions and planned materials.
- Select workers → Start crew on this job. Use Start / switch job, Travel, Shop, breaks, and Clock selected out. GPS is read only when you tap.
- Take Arrival, Progress and Completion photos or video on the home page. They upload to ClawCam on their own.
- Finish daily job records: work done, Ongoing or Done, materials, extras (T&M or one-time charge). Then Send captured hours for approval. Hours come only from the clock.
No signal? Taps are saved on the phone and sent in order (“Waiting to send”). Every job needs at least one photo that day, plus a Completion photo when marked Done, or a written reason.
Office review & payroll
- Approve time, fix a missed clock-out, trim or split time with a reason. Nothing is overwritten.
- Job time is approved in the source app (BidClaw Review & Finalize, PoolClaw Record the Work). CrewClaw's office handles travel, shop and break time.
- Download reviewed hours as CSV or Excel by employee, company and division. Lock this pay period when done.
Works with the other apps
| App | If you have it | If you don't |
|---|---|---|
| BidClaw | Crew days come in; approved records go back for Post result. | No BidClaw stops appear. |
| PoolClaw | Construction phases and service visits come in; approved days go back to Record the Work. | No pool stops appear. |

| ClawCam | Same login. Photos land in a ClawCam project per job; the office gets a 180-day gallery link. | Required — CrewClaw signs in through ClawCam. |
With no app connected, unplanned work and paper sheets still record time, but billable work needs a source job before it can be resolved.

Works with the other apps
| App | If you have it | If you don't |
|---|---|---|
| Social Autopilot | On a photo, Mark OK for Social and pick the brand. It's sent to the brand's posting folder about every 5 minutes. Set up under Admin → Social. | Photos stay in ClawCam. |
| CrewClaw | Same login. Crew photos land in the matching ClawCam project with stage tags. | Crews capture in ClawCam directly. |
| BidClaw · PoolClaw | Paste a ClawCam share link into job records, walk reports and client updates. | Upload photos in those apps. |
| ClawHQ | Coming Photo notes on the client timeline. | — |
If something's wrong
- Can't find a camera-roll upload: sort by Recently uploaded.
- iPhone videos have no thumbnail: Admin → Media → Generate video thumbnails, in Safari.
- A share link can be revoked but not edited. Make a new one.
- Subscription ended: photos are kept. Renew or Manage billing.
ClawHQ
ComingThe center hub: one record for every company and person you deal with, and every touchpoint with them, across all your brands. Campaigns, email, calls, texts and an AI voice agent that answers the phone and logs the call. The work apps report into it.
Set it up
- Create a Blue Claw ID. Blue Claw staff are added automatically with the field role on their company's brand; an owner or admin raises roles in Blue Claw ID.
- Subscribers: your workspace is created when ClawHQ is added to your plan.
- Brands → open each brand → fill in name, from-email, main phone, mailing address and time zone. Owners and admins only.
- Connectors turn on by themselves for every app your company owns. They can't be switched on by hand.
What's there now
Home
Your workspace, role, brands, and how many Claw apps are connected. Ctrl/⌘ K searches brands, pipelines, connectors and help.
Pipelines
Software and consulting brands: New → Contacted → Offer sent → Trial → Paying. Service brands: Lead → Prospect → Client → Past client.
Connectors
Owned apps show Connected with their plan. Apps you don't own show what you'd see with them and an Unlock button.
Team
Members and roles: owner, admin, office, sales, field. Office, sales and field see only their brands.
Being built, in order
- Contacts, CSV import with de-duplication, segments, exports, and the first campaign.
- Live feeds from the apps: client.created, bids, visits, invoices, photos, POs. Imports from QuickBooks and Jobber.
- Kanban boards and tasks, including speed-to-lead follow-ups.
- Email campaigns, with approval before send.
- AI voice agent per brand: looks up the caller, takes messages, books site visits, logs the call and assigns a follow-up.
- SMS and workflows, then the unified inbox and reporting.
Works with the other apps
| App | If you have it | If you don't |
|---|---|---|
| Every Claw app | Its client activity flows one way into ClawHQ and shows on the contact's timeline. Each app keeps owning its own work. | An Unlock card shows what that app would add. Dismiss it for 30 days. |
| Blue Claw ID | Roles and app ownership come from Blue Claw ID automatically. | Required. |
Subscriber data is walled off. Blue Claw never sees a subscriber's contacts.
Back to topPO Desk
Blue Claw nowA crew member texts or taps a form at the supply counter and gets a PO number on the spot. The office reviews it, and one click exports it to QuickBooks as a vendor bill coded to the right company, account, class, customer and job, with the receipt attached.
For crews: getting a PO number
- Text P to (866) 384-3804. Reply with digits or full words, never a single letter.
- Pick the company (1 BCA, 2 BWP, 3 BTC); BCA also asks the division.
- Vendor, then type (Materials, Rental, Disposal, Fuel/Oil, Tools, Repairs, Maintenance, Subcontractor, Other).
- For job purchases: the job (pick from the list if it's a BidClaw job), whether it's T&M or part of contract, and the amount.
- You get the PO number. Write it on the invoice, then text a photo of the invoice. RESTART cancels; sessions time out after 15 minutes.
No phone signal for texts? Use the web form with the crew PIN.
For the office
- More → Sync QuickBooks pulls customers, vendors and locations (also nightly).
- Open the Review tab. Click a row to open the drawer.
- Check vendor, account, class, job and amount. The AI read of the receipt suggests fixes; apply what's right. Split this bill if it covers more than one job.
- Match Customer, set Billable (re-bill the client) or not (cost to the job).
- Approve for Export → Export to QuickBooks. Exported POs lock with the QBO bill number.
More → Reconcile emailed bills matches vendor bills that arrive by email to the crew's PO.
Works with the other apps
| App | If you have it | If you don't |
|---|---|---|
| QuickBooks Online | Bills, vendors (only when you approve creating one) and the receipt attachment go straight in. | Use the dashboard as your purchase log and download receipts. |
| BidClaw | Crews pick from your sold jobs and work areas; purchases flow back to Job Cost as Actual. Create the key in BidClaw → Settings → PO Desk. | Crews type the client name, street or job #. |
| ClawBooks | Coming Approved POs post to ClawBooks job cost. | — |
If something's wrong
- Export blocked on vendor: bind an existing QBO vendor or tick Create new vendor.
- “Possible existing bill”: check QuickBooks, then Export anyway only if it's really a different bill.
- Attention badge: the QBO bill differs from the PO. Fix it in QuickBooks, then Fixed in QBO — re-check.
- Emailed bill on the wrong company: Move to…
TeamClaw
Blue Claw nowThe employee home base on the phone: handbook and signature, my info, time off requests and balances, pay stubs, HR messages and benefits links. English, Spanish and Brazilian Portuguese.
For employees

- Time off: see balances, pick type and dates, Send. Cancel while pending.
- Pay: pay stubs by year. Your manager can't see them.
- Messages and Benefits (provider links and phone numbers).
TeamClaw never asks for your Social Security number, bank details or ID. Tap ? Help on any screen to call, text or email the office.
For the office
- Office → Employees → Add employee (name, company, phone or email, language, start date, manager, H-2B). Then Create sign-in and share the link; TeamClaw doesn't send invites itself yet.
- Owners: Handbooks → upload the PDF → Activate. Employees re-sign only changed topics.
- Benefits page: add each plan with link, phone and a short note.
- Each pay period: Payroll hours → time off (upload the hours CSV, preview, post) and Upload pay stubs (up to 200 PDFs, matched by name).
- Managers approve time off on Time off to approve; you see who else is off those days.
- Messages to employees: write in English (Spanish and Portuguese optional), pick the audience, ask for confirmation if needed.
Who can do what
- Employee: own data. Manager: direct reports' time off and signatures, never pay. HR admin: everything for their companies. Owner: everything, plus handbook activation.
Works with the other apps

Back to topCashClaw
LiveThe daily cash-flow command center for contractors and multi-company owners. Every bank account as a 4-week plan, with expected deposits, bills to initiate, bank feeds that match and lock what cleared, and a projection of where each account lands.
Set it up
- Create an account and confirm your email. Turn on two-step sign-in in Setup if you want it.
- Create your organization (e.g. your holding company). The trial starts.
- Setup → Companies → Add company: name and a short code (up to 8 letters).
- Setup → Accounts → Add account: company, nickname, last 4, bank, starting balance and date, color.
- + Connect a bank (Plaid). Map each bank account to a CashClaw account, then Sync now. Banks Plaid can't reach: use CSV import.
- Add recurring rules (payroll, rent, loans) on Recurring.
Use it day to day
Planner
- Each account is a band; open it for a Mon–Sat grid with beginning and ending balance per day. Red ring = goes negative.
- Click + add: expense or deposit, payee, amount, date, and Standard / Expected (green) / To initiate (yellow).
- Tick Transfer between accounts to create both sides at once.
- Drag chips between days.
Bank matches
- Exact matches lock automatically (✓).
- Close matches wait in “bank matches to review”: Match, Keep both, or Discard.
- Locked rows: payee and notes still editable; Override unlocks the rest.
Summary
- Update now pulls fresh bank data.
- Cash in the bank vs projected, by account and company, for Today, Tomorrow, This Week, Next 4 Wks or a custom range.
- Yellow queue: payments to initiate in the next 14 days.
- Bank tie-out against today's Available balance.
Analytics
- Deposits, withdrawals and revenue over the range you pick; every figure says its window.
- 30-day outlook, period comparison, forecast vs actual, and an AI read.
The rules CashClaw follows
- Balances tie to the bank's Available balance, not Current.
- Anything entered that hasn't cleared is never deleted. Reconcile rolls it forward to the next open day with a note.
- Transfers between your own accounts never count as deposits, withdrawals or revenue. Returned payments are never revenue.
- Bank pending items show separately and never move balances.
Works with the other apps
| App | If you have it | If you don't |
|---|---|---|
| CreditClaw | Coming Card, loan and lease payments due appear on the Planner automatically. | Add them as recurring rules. |
| QuickBooks | Coming Uncleared checks from the QBO register. | Enter outstanding checks on the Planner. |
| ClawBooks | Coming | — |
If something's wrong
- Duplicate warning when adding: the same amount is already within 3 days. Don't hand-enter what the bank feed brings in.
- “Bank connector still loading”: wait a second and click again.
- Trial over: your data is safe. Subscribe to keep editing.
CreditClaw
Owner onlyOne dashboard for every credit card, loan, lease and mortgage across the books: balances, credit lines, utilization, minimums, due dates, alerts, and what cash each week needs.
Set it up
- Sign in with Email me a code, then set a password in Settings.
- Connections → Link a new institution (Plaid) → Map accounts → Save and sync. Try Link once for every lender; the rest stay manual.
- Set a payment day on each lease and loan so it shows on the Calendar.
- Settings → Daily email: send-to, send-from, Send test email.
Use it
Dashboard
Tiles for total balance, available credit, utilization, due in 7 days and past due. A section per book; click a row for history, pending payments and Mark paid.
Quick Rec
Spreadsheet-style entry: rec date, balance, pending, minimum, due date, line. Paste a column from Excel. Ctrl+S saves.
Calendar
Every payment by day; cash needed by week and month; what's overdue.
Alerts
Past due, due soon, over limit, 90%+ utilization, stale rec. Acknowledge or snooze.
Manual entry always works, linked or not. A broken bank link never blocks a rec by hand.

Help & troubleshooting
Help inside each app
Most screens have a Help with this page button with a guide, a short video or walk-through, and search. When a screen changes, its help is updated in the same release.
Sign-in problems
- Emailed links work once and on the device that asked for them; codes work anywhere.
- Only the newest code works. Wait a minute between requests.
- Check spam for invites and codes.
Lost your two-step phone
Contact support. There are no backup codes; an admin removes the old authenticator.
Offline in the field
ClawCam, CrewClaw, RouteClaw's field app and PoolClaw's My day all save on the phone and send when signal returns. Never clear the browser's storage while items are waiting.
Retired apps
- BlueQuickCalc → use BidClaw. The old address forwards there.
- Blue Wave → pool service now runs in PoolClaw's Service Department, moving to RouteClaw Pool mode.

Social Autopilot
LiveTurns your job photos into daily social posts. Each morning it takes a photo from your folder, checks it's a real job shot, writes the caption in your brand's voice, renders a short video, and schedules it through Buffer.

If something's wrong
- Nothing posting: both the Buffer key and the xAI key must be connected. If xAI credit runs out, your brand pauses until you add credit.
- One network failing: reconnect that channel in Buffer. Other networks keep posting.
